Every class at Language Mind Academy follows the same three-stage structure. This is non-negotiable β€” it's what separates us from traditional teaching.

β€Ί
Stage 1
Presentation
⏱ 10–15 min
You introduce the language chunk or concept in context. Keep it short β€” this is a teaser, not a lecture.
"Today we're going to master how to talk about past experiences. Listen to this story…"
β€Ί
Stage 2
Practice
⏱ 15–20 min
Students use the language in a controlled way β€” repeating, filling in, doing guided activities. You scaffold.
"Now tell me: what's the most interesting thing you did last year?" (with your support)
Stage 3
Production
⏱ 20–25 min
Students use the language freely and creatively with minimal help. This is the goal β€” real, unrehearsed output.
"Tell the group about your most embarrassing moment." (no scaffolding β€” they fly solo)
🚫 No grammar labels Don't say "Past Simple." Say "Master Storytelling." Always frame it as a life skill.
🎀 60% student talk If you're speaking more than the students, something's wrong. Production time is sacred.
πŸ₯ͺ Sandwich Feedback Correct with care: Positive β†’ Area to improve β†’ Motivating close. Never harsh. Never just negative.
🚩

Retaining students is a shared responsibility. You are the first line of defense β€” you see the warning signs before anyone else does. When you spot a flag, act immediately using the protocol below. Every day you wait is a student we risk losing.

🟑
Yellow Flag β€” Watch & Act
Early Warning Signs
Triggers
Missed 1 class without prior notice
Student seems unusually quiet or disengaged in class
Says "I've been very busy" two sessions in a row
Camera is always off and gives repeated excuses
Hasn't submitted any Speaking Project activity this month
Your action (within 24 hours): Send a warm, personal message on WhatsApp/Slack. NOT a group message β€” a private one. Check in, express you missed them, and ask if everything is okay. Do not mention the policy.
🟠
Orange Flag β€” Escalate
Active Risk of Dropping Out
Triggers
Missed 2 consecutive classes (with or without notice)
Didn't respond to your Yellow Flag message within 48 hours
Mentioned considering "taking a break" from the academy
Stopped participating in the group WhatsApp/Slack channel
Your action (same day): 1) Try a voice message or call β€” more personal than text. 2) Fill out the Class Report form and flag it in the "Comments for Edwin" field. Edwin will follow up directly within 24 hours.
πŸ”΄
Red Flag β€” Emergency
Student in Critical Zone
Triggers
Missed 3+ consecutive classes (= 1 full week or more)
No response to messages in 5+ days
Explicitly said they want to cancel or pause their plan
Technical issues used as excuse every single class (no camera, no mic, always "bad internet")
Your action (immediately): Message Edwin directly on Slack with the student's name and the flag level. Do NOT try to resolve this alone. Edwin will take over the retention conversation. Continue treating the student warmly if they return.
⚫
Special Flag β€” Always Notify Edwin
Situations That Need Immediate Escalation
Student mentions a personal crisis (family emergency, health issue, job loss)
Student complains about the academy, the course, or your teaching directly
Payment-related comments ("I might not be able to continue paying")
A student refers to another student disrespectfully in the group
Rule: You respond with empathy and warmth. Then immediately notify Edwin on Slack. You are not alone in this β€” we handle it as a team.

πŸ† The Golden Rules of Retention

1
Never assume a student is "fine" if they missed class. Always reach out.
2
A warm, personal message beats a formal check-in every time. Be a coach, not a secretary.
3
When in doubt, notify Edwin. There are no wrong escalations β€” only missed ones.
4
Log every flag in the Class Report. If it's not written, it didn't happen.
5
The first 15 minutes with a new student determine if they stay. Give every new student a Hero's Welcome.

Language Mind Academy's materials are proprietary. As an instructor, you are responsible for how you use and share them. These rules protect the academy β€” and protect you.

Canva: View-only, never duplicate
All Canva presentations are shared in view-only mode. Never duplicate, copy, download, or use them outside Language Mind Academy. Do not screen-record classes where proprietary slides are visible.
